Service
OrderRoom provides an online ordering and booking platform for hospitality businesses.
By using the platform or placing an order, you agree to these Terms.
Orders
Orders are placed directly with the venue, not with OrderRoom.
The venue is responsible for fulfilment, pricing, allergens, food quality, delivery, and customer service relating to the order.
Payments
Payments may be processed:
- through third-party payment providers integrated with the platform,
- directly by venues using their own card terminals or payment systems,
- or in person where cash payment is accepted.
Where third-party payment providers are used, their own terms and privacy policies may also apply.
Refunds and cancellations may be subject to the individual venue’s policies and applicable consumer law.
Accounts
You are responsible for keeping your login details secure and for activity carried out under your account.
You must be legally capable of entering into binding agreements to use the platform.
Acceptable use
You agree not to:
- misuse the platform,
- attempt unauthorised access,
- interfere with platform security,
- place fraudulent orders,

Venue Terms and Merchant Agreement

1. About this agreement
This agreement governs the use of the OrderRoom platform by venues, restaurants, cafes, bars, and hospitality businesses (“Venue”, “Merchant”, “you”).
OrderRoom is a trading name of [Company Name Ltd], registered in England and Wales under company number [XXXXXXXX].
By creating a venue account or using the platform, you agree to these terms.
2. Platform services
OrderRoom provides software and related services for:
- online ordering,
- table bookings,
- menu management,
- customer communications,
- and related hospitality platform features.
OrderRoom may add, remove, or modify platform features from time to time.
3. Venue responsibilities
You are responsible for:
- ensuring menu items, pricing, descriptions, and allergen information are accurate,
- complying with food safety, allergen, licensing, tax, and consumer protection laws,
- preparing and fulfilling orders,
- handling customer service relating to venue operations,
- and maintaining the security of venue staff accounts and devices.
You must not use the platform for unlawful, fraudulent, or misleading activity.
4. Payments
Payments may be accepted:
- through integrated third-party payment providers,
- through your own payment terminals or payment systems,
- or directly in person.
You are responsible for:
- all refunds and chargebacks relating to your venue,
- applicable taxes and VAT obligations,
- and compliance with payment provider terms.
OrderRoom is not responsible for payment disputes between venues and customers.
5. Subscription and licensing
Unless otherwise agreed in writing:
- each subscription applies to one venue operating at one physical location,
- subscriptions may not be shared across multiple venues or locations,
- and additional locations may require separate subscriptions.
Enterprise or multi-location licensing options may be introduced separately.
6. Fees and billing
Subscription fees, transaction fees, and any applicable charges will be communicated separately through pricing pages, invoices, or written agreements.
Unless otherwise stated:
- fees are non-refundable,
- subscriptions renew automatically,
- and you are responsible for cancelling before the next billing period if you no longer wish to use the service.
OrderRoom may suspend services for unpaid accounts.
7. Availability and support
OrderRoom aims to provide a reliable platform but does not guarantee uninterrupted or error-free service.
Maintenance, updates, outages, or third-party service failures may affect availability from time to time.
Support is provided on a reasonable efforts basis.
8. Data and privacy
Customer and venue data will be processed in accordance with the OrderRoom Privacy Policy.
You are responsible for ensuring that your own use of customer data complies with applicable privacy and data protection laws.
9. Acceptable use
You must not:
- attempt unauthorised access to the platform,
- interfere with platform security or operation,
- upload malicious software or harmful content,
- use the platform to process unlawful transactions,
- or misuse customer information.
OrderRoom may suspend or terminate accounts that breach these terms.
10. Intellectual property
The OrderRoom platform, software, branding, and related materials remain the property of OrderRoom or its licensors.
You retain ownership of your own menus, logos, and venue content.
You grant OrderRoom a non-exclusive licence to display and use venue content for operating and promoting the platform.
11. Liability
To the fullest extent permitted by law, OrderRoom is not liable for:
- loss of profits,
- indirect or consequential losses,
- customer disputes,
- venue operational failures,
- or losses resulting from downtime or third-party provider failures.
Nothing in this agreement excludes liability that cannot legally be excluded under the laws of England and Wales.
12. Termination
You may stop using the platform at any time.
OrderRoom may suspend or terminate access where:
- fees remain unpaid,
- these terms are breached,
- fraudulent or unlawful activity is suspected,
- or continued use presents operational or security risks.
13. Governing law
This agreement is governed by the laws of England and Wales.
Any disputes shall be subject to the jurisdiction of the courts of England and Wales.
